What is dbEMAIL?

dbEMAIL is a simple to use Form Mail to Database program for Windows 95, Windows 98 or Windows NT. It allows users to easily manage Web Form Mail Requests that are sent to any standard POP3 e-mail account with a single click of the mouse.

dbEMAIL features the ability to read a standard e-mail account and write the form requests to a Microsoft Access Database.

Installing dbEMAIL

Installing dbEMAIL is a very simple process. Simple run the installation executable, and follow the prompts that appear on your screen.   Read the dbEMAIL Basics Section of this help guide for more information on configuring dbEMAIL.

dbEMAIL Basics

Here is an Example of how dbEMAIL Works

Your Website Form Results produces an e-mail message similar to the one below:

dbEMAIL looks at each e-mail message that is sent to your POP3 e-mail account and parses the information into a Microsoft Access Database.

For Instance the information on line 5 of the e-mail above....

FirstName: Jon

Would write "Jon" to the Microsoft Access Database Field "FirstName".

The data to the left of the colon ":" is assumed to be a field name in the Microsoft Access Database.  The data to the right of the colon ":" is the data.  The program trims the leading and trailing spaces automatically.

 

Setting Up Your dbEMAIL Program


Your Microsoft Access Database has to be set up to work with the type of e-mails you are trying to receive.  You simple have to define the Field names of Access Database to correspond with the e-mail line headers in the message sent from your Web Form.  Shown Below is the structure of the Database for e-mail message that was used in the example above:

LastName

Title

Organization

StreetAddress

City

State

ZipCode

Email

NOTE:  Field Names are CASE SENSITIVE.  You have to create your Access Database Field Names EXACTLY as they appear in the e-mail message!

NOTE: When Creating the Fields in Microsoft Access you must define the "Data Type" to be
"Text" to insure compatibility with the information submitted.  If you need further assistance on this topic please refer to your Microsoft Access Documentation.

NOTE:  If a "Date" Field is Created in your database the date of the e-mail message   received  (Found in the Header)  will be logged to it.


After you have created the Database in Microsoft Access you must define the database in the dbEMAIL Program.  Follow these simple steps to configure the program to use your newly created database.


1. Load dbMAIL.exe


2. Click the Setup Button on the Main Toolbar:

3. This will display the Setup Dialog Box:

        Define the Settings for the Information Requested.

POP3 Server = The name of the server you connect to when  reading your POP3 e-mail account
User Name = The User Name that is used to open your POP3 e-mail account
Password = The Password needed to open your POP3 e-mail account
Access Database = The Name of the Microsoft Access Database (Click the Browse Button)
Access Table = The Name of the Table that is being used inside the Access Database (Pick the Table Name from the List)
Leave Mail On Server =  When Checked this option will allow you to leave all the messages that are read on the server.  It is recommended to uncheck this option! (Otherwise you will get the same data each time)  This feature only deletes the messages it places into the database, any other message will remain in your mailbox.

Troubleshooting dbEMAIL

Q.  I have the fields defined in My Access Database, but it seems to skip one of them when I run the Program.

A. The Microsoft Access Database Fields are Case Sensitive, check to make sure that the field is spelled the same way it appears in the e-mail message.
